Which of my tools does this actually replace?
The core we hand over already covers the everyday layer: spreadsheets and Smartsheet, email and calendars, Word documents, training and competency records, password management, PDF e-signature, OKRs and reporting. After that there is very little it can’t absorb — as your team builds, it keeps taking things on, and some businesses end up running their website from it too. How far you take it is your call.
What happens to my accounting software?
Keep it. Whatever you run today stays where it is, and CleverSystems works alongside it. If you would rather consolidate later, there is an accounting base inside the system you can build on instead — but nothing forces that decision on day one, and plenty of businesses never make it.
How can it adapt to my business without costing a fortune to build?
Because you are not buying our time forever. Once the foundation is in, your own team carries on building — process by process, department by department, and tools you never had before. That is what takes the cost out: the people who actually understand the business are the ones extending the system, so you are not paying a day rate every time something needs to change.
How is this different from an ERP like Navision or Sage?
At the start it runs alongside one — nothing has to be ripped out — and over time it can take on more of what they do. The real difference shows up when the business changes. Bending an ERP to how you actually work means a change request, a budget and a wait. Bending CleverSystems means your own team doing it, at a fraction of the cost and far faster than that process allows. The system adapts to the business, not the other way round.
What if our people can't build, or the one who learned it leaves?
You would normally start with a Digital Champion — one person building actively and bringing the rest of the team along. But they never stay the only builder. The whole game is that each person makes their own work easier by creating tools in the central system, and the moment they do, what they know stops living in their head and starts living in the business. That is what makes someone leaving survivable: the process is still there, still running. You can also simply ask the system how something works and it will talk you through any process it holds. And underneath all of it we stay on permanently, so if your building stalls for a while, nothing falls over.
How long before we're running on it?
Two to four weeks to stand up the base system and get your core processes running on it. After that it compounds. By around twelve months you are running a genuinely AI-driven environment, and the change in how fast the company moves is the part people actually notice. From there it is your team’s game: connect the next department, digitalise the next process, take out the next bit of friction.
Who owns the data, and can I self-host?
Your company owns its data — all of it. Self-hosting is available if you want the system running on your own infrastructure rather than ours. Which of the two suits you is one of the things we work through in the setup meeting.
What if we outgrow it, or want to leave?
Outgrowing it is the wrong shape of worry — it grows as you do. The model is your process leaders working together and putting ideas in quickly, so the system expands with the business instead of hitting a ceiling. And if you do decide to leave, your data comes with you: the system generates reports and files natively, so getting it all out is straightforward.
Isn't this just a fancy spreadsheet?
No. A spreadsheet holds data; this runs the operation. It connects departments instead of filing them separately — communication, documents and e-signature, automation, compliance, reporting — so the paperwork and the re-typing go, and so does the hunt for where a number actually lives.
